POSITION: Central Office Secretary
REPORTS TO:
Appropriate Coordinator(s)
Executive Secretary/Office Manager
RESPONSIBILITIES: To contribute to the efficient operation of the office, provide secretarial assistance, and perform other related duties associated with business operations.
QUALIFICATIONS:
- Minimum high school diploma or GED
- Current and active application
- Computer literate
- Clerical skills
- Management/Organizational skills
- Preference given to current employees
PERFORMANCE RESPONSIBILITIES:
- Proficient computer skills/experience with Microsoft Word, Excel, Access, PowerPoint.
- Assists with preparing purchase orders, requisitions, vouchers
- Keeps and maintains a current, accurate filing system, as well as a set of locked confidential files, and processes incoming correspondence.
- Prepares all necessary correspondence.
- Handles all details for consultants.
- Types, proofs all correspondence.
- Back up the computers as new information is added.
- Maintains confidentiality of any school system related information.
- Perform duties in a manner that promotes good public relations.
- Be familiar with and follow Board of Education policies.
- Maintain proper and professional relationship with other employees.
- Handles routine requests.
- Handle bulk mailings.
- Answers the telephone, records messages, handles and/or routes calls.
- Obtains, gathers, and organizes pertinent data as needed, and puts it into usable form.
- Orders and maintains supplies as needed.
- Performs any bookkeeping tasks associated with the specific position.
- Maintains a schedule of appointments and makes arrangements for conferences and interviews.
- Welcomes visitors and arranges for their comfort, and screens unexpected callers in accordance with predetermined policy.
- Performs the usual office routines and practices associated with a busy yet productive and smoothly run office.
- Maintains such records as shall be required.
- Types a variety of material, such as letters, reports, memos, etc., from rough drafts or corrected copies.
- Verifies totals on report forms, requisitions, etc., and proofreads work of other employees as requested.
- Performs various related office duties as assigned.
- Other duties as may be assigned as related to the specific position.
EVALUATION: Performance will be evaluated in accordance with provisions of the Board’s Policy.
TERMS OF EMPLOYMENT: Twelve (12) month contract. Salary according to approved Salary Schedule.
